Guests communications.

Thinking ahead to next year and the fact that we’ll all still be navigating life with some level of covid rules, we’ve created our ideal guests communications plan. Its aim is to ensure that your guests feel calm and in-the-know in the lead up to your wedding, they have the facts and that they attend you wedding! As a side, the more you communicate clearly with your guests, it’s like the less wedmin and guest queries you’ll have.

Assuming that there will be some sort of travel regulations and that Italy may still have its Green Pass in place, this is what we’d tell guests:

Dec ’21 – Jan ’22 – Send invites and link to your wedding website

Get the invites out so guests know that everything’s on track and going ahead. They can book accommodation and travel and have everything set.

Include RSVP. It can be most helpful to have the RSVP on your wedding website to capture planned attendance at multiple events, dietary requirements, their accommodation address etc.

Collect everyone’s email addresses if you don’t already have them

Importantly at this stage, we’d include a wedding FAQs on your website. This easily updatable section is somewhere you can add more info when you have it, especially regarding travel. Here, what the travel situation currently is so guests can get comfy with things as they are. Let them know you’re staying on top of things and will update guests when travel rules are clear /  there is more information.

February/March ’22 - RSVP chaser / travel update (the earlier date for May/June weddings)

Aim for a moment in spring to confidently tell your guests the facts and the plan: that you’re going ahead and exactly what they need to consider to travel and be in Italy. At this point we’d hope to have a good idea of the travel plans for the year ahead and the situation across countries.

It’s possible that guests will need to consider a third/booster jab, having their green pass ready and of course some testing for travel.

Final call for attendance

8 weeks from your wedding date is when we’d suggest making a final call on your guest list, giving any outstanding guests (perhaps those that have put off the decision for whatever reason) the final call to make a decision. Only you can know what date you’re willing to take that final decision and it may depend on who those guests are, how many there are and their personal situation.

There are lots of other factors to consider when it comes to covid and weddings and we learnt these very well in 2021. With our W&W we will be starting monthly support sessions as we get in to the New Year and navigate the rules and regulations together.

Reminder of the current (Oct-21) Italy travel rules

Single/double vax – entry with proof of vaccination through your home country’s digital platform eg. UK NHS app.

No vax – quarantine for 5 days on arrival in Italy and test to release.

Green pass needed to enter inside spaces from restaurants to theatres (QR code with proof of your vaccination will suffice).

Lateral flow to get in to Italy.

It is likely that booster jabs will be required for all guests – or a vaccination within 9 months of their entry to Italy.

If there’s one thing we learnt last year, it’s that weddings are more than possible even with covid rules and restrictions in place and they continue to be absolutely incredible!
